Entities and connections
One Xero sign-in can add several organisations; an entity on any other ERP gets its actuals from that ERP's export. Codes are used across reports and intercompany rules. Xero allows 1,000 calls a day per organisation; syncs used 0 in the last 24 hours.

Sync
Pulls monthly P&L and month-end trial balances for the current fiscal year, plus ECB exchange rates. Runs every night. In the year's first 4 months it also refreshes the last 3 months of the year before, to pick up year-end adjustments. Busy or failed Xero calls are retried, and a month Xero can't return keeps its previous figures.
P&L and balance sheet held from Apr-25, so pages can compare with the prior year.

ERP exports
For an entity on any ERP other than Xero (QuickBooks, NetSuite, Sage, Dynamics, SAP Business One, Odoo and others), upload its profit and loss by month or trial balance export each month. Foresail maps it into monthly actuals, checked against the export's own totals, and you approve it before anything is saved. Each upload replaces only the months it covers.
No entity gets its actuals from an export yet.
Power BI KPIs
Every night after the Xero sync, Foresail reads monthly usage KPIs from a Power BI semantic model into KPI actuals, with a read-only app sign-in: the last 3 closed months, plus earlier months of the year it has no figures for. Server credentials: set.

Overrides
Carve values of another column (an employer, say) out of the group split into a segment of their own. One value per line.
Month close
Automatic: every month to Sep-26 counts as closed. While a close is running, keep the month open so the forecast, Overview and the owners' pack treat it as provisional.

Each Xero account maps to one reporting line. Unmapped accounts are listed first. The same code maps the same way in every entity.
