Set up in two steps, on any ERP

Setting up now takes two steps, in either order: upload your Excel model (any layout, any kind of budget or forecast), and connect your ERP and BI tools. Xero connects live. For any other ERP, such as QuickBooks, NetSuite, Sage, Dynamics, SAP Business One or Odoo, upload its profit and loss by month or trial balance export and Foresail maps it into monthly actuals, checked against the export's own totals, for you to approve. Each month, upload the new export from Data & mapping; Health checks flags a month that is missing. Download everything as Excel at any time from Data & mapping or the menu.

Ask Ask Foresail "will we run out of cash in the next year?" or "how much cash will we have in 12 months?" and it answers from the Cash over the next 12 months card: the month cash would go below zero, if it does, the lowest month end and the cash in a year, for the group or one entity. Try the headcount plan in the Scenario studio

For admin and finance, the Scenario studio has a "Staff costs from the headcount plan" switch: the open months of each staff line on the plan take its cost, and the full year, the chart and What changed show what that does to the result next to your other changes. It doesn't change the best guess, isn't saved with the scenario, and other roles don't see it.

Import the headcount plan from a spreadsheet

For admin and finance, the Headcount tab takes an Excel or CSV file with one row per position (position, entity, line, people, start, end, salary and on-cost) and shows what it would load before anything is saved. Saved forecasts keep what you saw

Saving a forecast version now stores the figures exactly as Forecast & scenarios shows them, including the FP&A short-term forecast and approved department plans. Before, a saved version kept the drivers' figures only, so Compare versions could show a gap against the live best guess that wasn't really there. Versions saved earlier keep their figures.

Managers see finance's comments on their lines

Department managers now see finance's variance comments on their own department's lines on My budget vs actual: lines with a comment show ✱, the month's comments are listed under the table, and the line's drill-down and the Excel export include them. Managers still can't write comments, and never see comments on other departments' lines.

KPI actuals from Power BI

Admins can connect a Power BI semantic model on Data & mapping. Every night after the Xero sync, Foresail reads the monthly usage KPIs it is set up for (such as active users, withdrawals, value withdrawn and platform fee revenue) into KPI actuals, with a read-only app sign-in. The KPIs page says when they were last pulled, and Health flags a pull that failed or is more than 3 days old. Where the platform's own fee revenue is loaded, the fee revenue check sets what the platform billed against what Xero booked, and the fee per withdrawal is worked out from it.

Partner cross-sales from the go-live tracker

On Forecast & scenarios, the partner cross-sales line can now follow the go-live pipeline: its last 3 months' average plus employees live from dated go-lives × revenue per employee, after the slip. Choose Go-live pipeline as the line's revenue method. It takes precedence over the FP&A short-term forecast for that line, and the partner ramp in FP&A's forecast shows as a risk under the totals with its effect on EBITDA, in the forecast check on KPIs and in the owners' pack outlook. Go-lives carry a client and a status (live, implementing, planned, at risk); at-risk ones are left out unless you include them. Load the partner's tracker from a CSV or Excel file, check the preview, then save the drivers as usual.

Revenue forecast from users and withdrawals

On Forecast & scenarios, each entity's revenue lines can now be forecast from KPI drivers instead of a growth rate: active users × withdrawals per active user × fee per withdrawal, plus subscription and other revenue, for each segment, with new clients, adoption, logging-in and transacting shares behind the users. Defaults come from the last 3 months of KPIs, each with its source; where a funnel figure has no actual yet, the FP&A estimate is used and labelled. A loaded KPI forecast replaces any step for the months it covers. The FP&A short-term forecast still wins for its months; after it, a line on KPI drivers takes the drivers' figures. Revenue drill-downs show the maths for the month.

KPIs against budget and the forecast, with a fee revenue check

KPIs now load from a CSV or Excel file with one figure per row (KPI, unit, entity, segment, version, month, value), with a preview before saving. The KPIs page shows actual, budget and forecast by month for the group, an entity or a segment, unit economics next to the P&L, and a check of Xero fee revenue against withdrawals × fee, month by month. Health flags a month when Xero is short by more than 5% and £2k. Overview has a strip of active users, withdrawals and revenue per withdrawal against budget, the owners' pack a usage section, and KPIs can go in My views and Ask Foresail.

When finance approves a department's plan, its figures now replace the best guess for that department's cost lines in the months the plan fills, on Forecast & scenarios, Overview, the owners' pack and everywhere else the forecast shows. The latest approved plan stays in use until finance approves a newer one. Revenue lines in a plan are a sign-off only.

Health check: accruals and prepayments that haven't moved

Health lists accrual, deferred income and prepayment accounts of £1k or more that have held the same balance for 3 month ends. That usually means a release or amortisation journal was missed. Balances are compared in each entity's own currency, so a euro balance doesn't look like it moved because the rate did.

Health check: an entity missing its latest month

Health warns when an entity that posts most months has no P&L for the latest month the other entities have. That usually means its close isn't finished or its sync failed, and the group figures miss it until it syncs. The drill-down shows the entity's result by month.

Health checks each entity's balance sheet against its P&L for the last 12 months, in the entity's own currency. Every posting has two sides, so the balance sheet should move by the month's profit or loss. A month that doesn't tie usually means part of that month didn't sync: the drill-down lists the months and the gap.

A more accurate forecast, with its track record

Forecast & scenarios now adds recurring costs the FP&A forecast leaves out or understates. Accounts with actuals in at least 3 of the last 4 months are checked against the FP&A figure for their line, and where that figure falls short of their average over the last 3 months by at least 10% and £1,000 a month, the shortfall is added. Only the shortfall is added, so nothing the FP&A forecast already covers is counted twice. The adjustments show as a line of their own; click it to see them account by account, with the months they apply to. They are on by default, and finance can switch them off for the workspace on the Forecast page. When the FP&A forecast is set for the group only, each entity now shows its share, based on its last 3 months, and the group still matches the file exactly. Named clients and partner cross-sales on their own lines

A large named client now has its own revenue line everywhere, with revenue excluding it where totals matter, and Overview says how much of the revenue gap it accounts for. Foresail remembers your choice. The Owners' pack shows revenue with and without cross-sales and without the named client, as the monthly review does. The named client's forecast revenue carries direct costs at the same share as the rest of revenue, on a line of its own.
